How to use these
- Swap anything in [brackets] for your own details.
- Send from the practice's own number or account, and sign with a real first name.
- Text only people who gave you their number and agreed to hear from you.
- Keep diagnosis and treatment details out of texts and DMs. The scripts book the conversation. The consult is where the medicine happens.
1The missed call
A text in the next few minutes reaches the caller while the question is still on their mind.
Hi, this is [Name] at [Clinic]. Sorry we missed your call. What can I help you with? If it's easier, you can grab a consult time here: [booking link]
Hi, it's [Name] at [Clinic]. We're closed for the night, but I saw your call and didn't want you to wait until morning. What were you calling about? I'll make sure the right person gets back to you first thing tomorrow.
Morning, [First name]. Following up on your call last night. Would you like me to hold a consult time for you this week? I have [day] at [time] or [day] at [time].
2The Instagram or Facebook DM
DMs usually open with a price or a "would this work for me?" question. Answer what you can, then move it to a consult.
It depends on what we're treating and how many sessions you'd need, which is why we start with a consult. To give you a rough idea, most plans start at [starting price]. Want me to find you a time to talk it through?
Thanks for asking. That's not something anyone should answer over DM. What I can do is get you a [length] consult with [Provider] so you get a real answer for your situation. Do mornings or afternoons work better for you?
Hi [First name], making sure this didn't get buried. Do you still want me to look at consult times for you?
3The website form
Someone who fills out a form has already done the work of reaching out. Reply by text first, then send the details by email.
Hi [First name], it's [Name] from [Clinic]. I got your message about [service]. I can get you in for a consult on [day] or [day]. Which works better?
Subject: Your question about [service] Hi [First name], Thanks for reaching out about [service]. The next step is a [length] consult with [Provider]. We'll go over your history, what you're hoping for and whether this is a good fit for you. You can pick a time here: [booking link] Or reply with a couple of times that work for you and I'll set it up. [Name] [Clinic] · [Phone]
Hi [First name], I didn't want your request to fall through the cracks. Is there a question I can answer before you book?
4The consult no-show
Keep it warm. People who miss a first appointment still had a reason to book it.
Hi [First name], we had you down for [time] today and wanted to make sure you're okay. Would you like me to move you to another time? I have [option] or [option].
No worries about yesterday, things come up. I still have a couple of openings this week if you'd like to rebook: [booking link]
Hi [First name], last note from me on this. If the timing isn't right, no problem at all. When you're ready, reply here and I'll get you scheduled.
5After the consult: "I need to think about it"
Give them the plan in writing and a clear way back. Then stop.
Thanks for coming in today, [First name]. Here's a quick recap of what [Provider] recommended: [plan in one line]. Did any questions come up on the drive home? Happy to answer them.
Hi [First name], checking in. A lot of patients like to talk it over with family first. If it would help, I can send you [the written plan / pricing / what to expect] so you have it in front of you.
Hi [First name], I'm going to close out your file for now so you don't keep hearing from me. If you'd like to move forward later, reply here and we'll pick up right where we left off.
6The past patient
People who have already been in are the easiest consults to book. Check in like a person, not a promotion.
Hi [First name], it's [Name] at [Clinic]. It's been a little while since your last visit and [Provider] asked me to check in. How have you been feeling? If you'd like to come back in, I can find you a time this month.
Hi [First name], a quick heads-up since you've been with us before: we've added [service] to the practice. If you're curious whether it fits your situation, I can set up a short consult with [Provider].
The rules behind the scripts
- Set a reply-time rule. Decide how fast every inquiry gets an answer, during hours and after, and who owns it.
- Always offer a next step. Instead of "let me know what works," offer two specific times. They're easier to say yes to.
- Stop after the last touch. Three or four messages is persistent. Ten is a problem.
- Count every inquiry. You can't fix missed inquiries you can't see. The Missed Inquiry Calculator shows what they're worth.
